The problem
The owner wanted to help more patients and asked me how I could help. The clinic ran on paper: no website, no CRM, event signups and follow-up permissions collected by hand, and no way to see patients who couldn’t come in.
What I built
I set everything up: the website, HubSpot as the CRM with tracking and online booking, a HIPAA-compliant telehealth video service so the clinic could see patients remotely, and lead-generation marketing. I digitized the handwritten event contacts with their recorded consent and sent an SMS campaign to the people who opted in. With telehealth the clinic entered a market it couldn’t reach before.
The result
The first opt-in SMS campaign generated $6,000+ in booked appointments within one week, with further texts and outreach afterward.
How it fit together
A website, HubSpot CRM, online booking and a HIPAA-compliant telehealth video service were connected into one flow, so a marketing contact could become a booked appointment, in person or remote, without re-entry. Handwritten event signups were digitized into contacts with their recorded consent, and the opt-in list received an SMS campaign with booking links.
The work joined the website, booking and sales pipeline in HubSpot, with contact migration and tracking. Event follow-up used the permissions captured on the handwritten forms.
Decisions and tradeoffs
- Connect existing tools rather than build custom ones.
- Less control over the details; a working system in weeks that the clinic could run itself.
- Recorded consent decides who gets a message.
- A smaller outreach list; every text went to someone who had asked for it.
